Inventory is the core of Beach Depositories. Every physical item stored in the vault is tracked as an inventory item, assigned to an FBO account, and monitored through its full lifecycle.

Item lifecycle

Inventory items move through a series of statuses as they enter, reside in, and leave the vault:

Event log

Every action on an inventory item is recorded in the event log, providing a complete chain of custody:
  • Inbound receipt and inspection
  • FBO account assignment
  • Transfer requests and completions
  • Outbound shipment requests
  • Shipping and delivery
  • Returns
Each event captures who performed the action, when it happened, and any relevant metadata.

Insurance

Inventory items are covered by vault insurance up to the limits configured at two levels:
  1. Organization level — the maximum total insured value across all FBO accounts
  2. FBO account level — the maximum insured value for that specific account
Items that would exceed the insured value limits will be flagged during intake. Work with your Beach Depositories representative to adjust limits as needed.

Shipments

Inventory enters and exits the vault through shipments:
  • Inbound shipments — items being received into the vault
  • Outbound shipments — items being sent back to account holders
  • Return shipments — items being returned to the vault after an outbound
Each shipment includes tracking information, carrier details, and insured value coverage.
